Knowledge

Knowledge is your AI personalization profile in olllo. It captures who you are, how you work, and how you want AI to help you. Every AI interaction — from accomplishment capture to weekly reflections — references your Knowledge to provide contextually relevant, personalized responses.

Accessing Knowledge

Click “Knowledge” in the sidebar navigation to open your Knowledge page. This link appears after you’ve completed Knowledge setup during onboarding.

What Knowledge Contains

Your Knowledge profile has two types of information: free-form sections you can edit directly, and structured preferences managed through Settings.

Free-Form Sections

These sections contain text you write (or that the AI generates during setup). You can edit them directly on the Knowledge page.

Role Summary A brief description of who you are and what you do. Generated during setup from your name, role, department, and company.

Example: “Jane works as a Senior Engineer in the Platform department at Acme Corp.”

Responsibilities Your key responsibilities and what a typical day or week looks like. This helps the AI understand the scope of your work when asking reflection questions and refining accomplishments.

How You’re Evaluated What success looks like in your role and how your performance is measured. The AI uses this to ask more relevant questions about your progress and help you frame accomplishments in terms that matter for your reviews.

How You Want AI to Help Your preferences for how the AI should interact with you. For example, you might want help preparing for performance reviews, or prefer the AI to challenge your thinking rather than just affirm it.

Career Focus Where you’re heading professionally and what you’re working toward. This gives the AI context for connecting your daily work and reflections to your longer-term direction.

Structured Preferences

These are managed through the Settings pages but are part of your Knowledge profile:

  • Writing style: How you prefer AI-generated content (concise bullets, detailed narratives, or metrics-focused). See App Preferences.
  • Help focus: Specific areas where you want AI assistance (e.g., performance reviews, promotion readiness, better 1:1s). Editable directly on the Knowledge page.
  • Avoid list: Things you want the AI to avoid (e.g., fluffy praise, corporate jargon, management assumptions). Editable directly on the Knowledge page.
  • Reflection theme preferences: How much emphasis each reflection theme should receive. See App Preferences.

Editing Your Knowledge

Editing Free-Form Sections

  1. Navigate to the Knowledge page
  2. Click the edit icon next to any section
  3. Modify the text in the text area
  4. Click “Save” to persist your changes

Each section can be edited independently. Empty sections show placeholder text describing what to add.

Editing Help Focus and Avoid List

These appear as chips/tags on the Knowledge page:

  • Click “Add” to add a new item
  • Click the “X” on any chip to remove it
  • Choose from suggestions or type your own

The Knowledge page includes cards linking to related settings:

  • Work Context — role, department, company, managerial details
  • Preferences — theme, AI tone, writing style, reflection themes
  • Notifications — reminder schedule and timezone

How Knowledge Is Used

During Reflections

The AI references your Knowledge during weekly reflections to:

  • Ask questions relevant to your specific responsibilities and evaluation criteria
  • Adjust tone and depth based on your preferences
  • Focus on themes you’ve prioritized and skip themes you’ve minimized
  • Use your preferred writing style in responses
  • Avoid topics on your avoid list
  • Connect discussion to your career goals, milestones, and planned activities

During Accomplishment Capture

When refining accomplishments into STAR format, the AI uses your Knowledge to:

  • Understand the context of your work
  • Frame results in terms relevant to how you’re evaluated
  • Match your preferred writing style

Across All AI Interactions

Every AI conversation in olllo has access to your Knowledge context, including:

  • Goal creation conversations
  • Accomplishment refinement
  • Any conversational interaction

Knowledge Staleness

If you haven’t reviewed your Knowledge in 90 days, olllo will show a gentle reminder to review and update it. This helps ensure the AI stays aligned with your current role and priorities, especially if you’ve changed roles or shifted focus.

You can dismiss the reminder for 30 days if your Knowledge is still accurate.

Setup for Existing Users

If you joined olllo before Knowledge was introduced, you’ll see an introduction dialog with three options:

  • AI-Assisted Setup (recommended): A guided conversation that starts with what we already know about you from your original profile setup and fills in the gaps. Takes 3-5 minutes.
  • Set Up Manually: Creates a basic Knowledge profile from your existing information and takes you to the Knowledge page to fill in details yourself.
  • Remind Me Later: Dismisses the dialog for 7 days.

Conversational Updates

You can update your Knowledge from any AI conversation by saying things like:

  • “Update my context”
  • “I changed roles”
  • “My responsibilities have changed”

The AI will show you what’s currently in your Knowledge, help you make changes, and confirm before applying updates.

Data Privacy

Your Knowledge data is:

  • Stored securely in our database
  • Used only to personalize your AI interactions
  • Not shared with third parties
  • Fully included in data exports
  • Deleted when you delete your account
